Common questions
Is ChairNotes HIPAA-compliant?
Audio recordings are never stored on our servers — they are deleted immediately after processing. Generated notes are saved to your account. You remain responsible for how you store and use those notes in your practice. ChairNotes does not sign BAAs.
How accurate are the notes?
ChairNotes uses state-of-the-art AI for transcription and extraction. Output is accurate for clear recordings but should always be reviewed before use in clinical documentation. Accuracy improves with less background noise and clear speech.
What recording quality do I need?
Any phone or computer microphone works. A quiet room makes a meaningful difference. We accept .mp3, .m4a, .wav, .webm, .ogg, and .mp4 — up to 25MB and 30 minutes.
How do I get the notes into my practice management software?
Copy and paste. ChairNotes works alongside any PMS — Dentrix, Eaglesoft, Carestream, or anything else. No integration setup required.
What’s the difference between a Full Report and a Transcript?
A Full Report gives you a structured clinical snapshot, emotional profile (motivation, barriers, financial signals), and risk flags — everything you need before case presentation. A Transcript gives you a cleaned, speaker-labeled conversation with a 3-sentence summary at the top.
What appointment types does ChairNotes support?
New Patient, Emergency, Treatment, and Consultation. Each type uses tailored AI prompts so the output matches the visit — from SOCRATES-format emergency notes to full emotional profiles for new patients.
What are risk flags?
Risk flags are clinical, emotional, airway, and systemic risk indicators detected from the conversation. ChairNotes identifies things like TMJ symptoms, STOP-BANG sleep apnea indicators, unrealistic expectations, and erosion patterns — plus risk indicators mentioned during the visit.
How does the first free note work?

Can I email notes directly from ChairNotes?
